FFA Client Tracking
What is the FFA Client Tracking Report and How is it Used?
The report is a view of how many hours are being delivered for an agreement vs. expectations. The definition of hours delivered is the hours that are billed and covered by the agreement. FFA Client Tracking shows for any given client (or all clients) how the client's hours are tracking over time. (For all clients see FFA Monthly Tracking.) You can see the trend in hours over a number of months. One month might look bad, but in this report you can see if it is a trend or just one bad month.
What is the Expectation?
By using the target effective rate for your business, as established in the on-boarding process (set in Lookup > Options > FFA Tracking > Default ER), we can identify the target hours. Target hours are equal to the FFA Labor revenue for a given month divided by the target Effective Rate. E.g. $3,000 in FFA labor revenue and target Effective rate of $150 would create a target of 20 hours. More hours create an effective rate below our target. Fewer hours would result in a rate above the target.
Note: For an open month (a month that is not complete, i.e. the current month), the target hours are prorated. This number is updated daily.
Filters
The Filters allow you to select (1) a specific client or all clients and (2) a date range. The Quick set bar (3) gives you predefined dates for your date range. (4) If using "All Clients", you can select clients who have agreements in specific agreement categories (Note: The results will include all agreement labor hours for the clients who have the specific agreement categories.) And you can exclude Internal Clients (5) that may have some hours.
You can download the reports to an Excel/CSV spreadsheet, a PDF file, a report download basket to be printed at a future time, or store the selected filters in a report profile (see yellow area highlighted below).
Make sure to click the Filter button to have the filter changes take effect.
Chart
The bar chart shows the hours each month delivered for agreements. To view all three values (hours, target, delta) for any bar, move the arrow pointer over the specific client bar (see below).
To view either a second bar or all three bars, click on the legend below the chart.
Do you want to find out about the hours going into any month? Click on the bar(s) for the month and you will go directly to the Members/Work Report for a direct link into the client's hours for the month selected.
FFA Summary (MTD)
The bottom table gives you a Summary of (1) FFA hours, (2) Target hours, and (3) Delta hours for the time range. If the current month is included, the target hours are prorated until the current date.
