What is the Member Work Report and How is it Used?

The Member Work report shows all of the attributed revenue earned by the member  during a  given period of time. The report can be as broad as looking at all work --- all clients, all members, all types of work; or as narrow as a member's work on a single client for a single type of work  -----OR anywhere in-between.  Once segmented by these criteria, the report can be grouped by client, by member, by type of work being done, or work type.  

The Work Report is not about costs, it is about who earned revenue and when they earned the revenue. For example, for T&M (actual rate work), the revenue is earned when it is invoiced which can be months after the work is done; but for FFA work all labor is recognized the current month.

Practical Uses

Here are common use cases for the Member Work Report:

  1. Verify all labor is invoiced for the previous month
    • Filter: all members + all clients
    • Show: un-invoiced time in the previous month
  2. Investigate low billable hours for a specific engineer
    • Filter: specific member, all clients, specific month
    • Show: admin time, sales time, unbillable time, un-invoiced time, internal technical time
  3. Identify engineers who worked on Fixed Fee projects
    • Filter: specific client, all engineers, FF project type of work
  4. Analyze distribution of time across work types
    • Filter: all clients, all members, all types of work
    • Group by: work type

Important Terms

  • Type  MSPCFO classification from time logs (e.g., Admin Time, FFA Time, Unbillable Time).
  • Work Type  PSA-defined table used on time records (e.g., Remote Support, After Hours, Holiday, Training).

Report Structure

Each grouping shows a total summary.

Click > to expand and view individual time entries, which include:

  • Date of Work
  • Hours Worked
  • Revenue
  • Invoice Details (for T&M work: invoice number/date)
  • Agreement Details (for FFA: agreement name, shadow billable)

Bottom line totals: hours, revenue, and shadow billable.

Filters

The report has combinations of filters to allow you to see only time records specified.

1. Date Range - The date range can select individual consecutive days, a single month, or multiple months.
 * The 'By Month/By Day' toggle lets you look at a month at a time or by a specific day range. Toggle to the left for month, toggle to the right for days.
 * The two dates are Start Date and End Date.
 * Quick select allows you to pick a predefined date range.

2. Data Scope - If set to:
    2.1 Revenue Date (default) the report shows all time when revenue is earned which differs with different types of work:
           *Actual Rate: revenue is earned when the work is invoiced.
           *FFA - revenue is earned in the month the work is done.
          *FF Tickets and FF Projects - this is more complicated and is best understood by viewing MSPCFO's webinar on Fixed Fee Projects
   2.2 Work Date - the report shows all time that is worked in the specific month no matter type of work or Invoiced.

3. Client - All clients or one particular client. the filed defaults to all clients.Filters

The report offers multiple filters for precise reporting:

  1. Date Range
    • Select consecutive days, single month, or multiple months
    • By Month/By Day Toggle:
      • Left = month view
      • Right = custom day range
    • Quick select = predefined date ranges
  2. Data Scope
    • Revenue Date (Default):
      • Actual Rate  revenue when invoiced
      • FFA  revenue in month work is done

    • Work Date: shows when the work was actually done, regardless of invoicing
  3. Client
    • All clients (default) or one client
  4. Member
    • All members (default), one member, or group
  5. Type
    • Any combination of types of work from PSA / MSPCFO Lookup table
  6. Agreement Types
    • All agreement types (default), one, or a subset
  7. Reports To
    • Filter by members reporting structure
  8. Group By
    • Member, client, type of work, or work type

Tip:

Click Apply Filter to save changes.
Use Clear Filters to reset to default.

If your time frame is too large, narrow the range to ensure report runs successfully.

Examples of Filter Combinations

Here are a few examples of the types of segmentation that can be achieved in the work report.

Example 1: How much time did a specific engineer spend on billable agreement work for each client during the previous quarter.
Show all time logs in the previous quarter for billable fixed fee agreements (FFA)  for a member (318), grouped by Client.

To see the detail time logs, for any or all clients, click the ">" to expand. To close up the grouping, click on the same arrow which is now pointing down.

Example 2:  Show all time records for un-invoiced and un-billable time during the previous 90 day period for an individual client (Client 3132) . Group this report by the members who did work.
In this case the report will show time logs that have been assigned to a client (Client 3132) during the past 90 days and did not generate revenue either because the time has not yet been invoiced or it was coded as unbillable. The report may give some information about why a client you thought would have had higher revenue numbers for the time period was not generating the billing you expected.  More detail on the individual time records are seen when you open each member.

Example 3: Show all types of work an individual member logged time during the previous 60 days. The report is grouped by client.
In this example, click on "Select All" under Type to select all work types. The report contains all work done by a member (Member 253)) for the previous 360days.

Detail Information

Once the report is filtered, each grouping can be opened to view the individual records. The information provided for each time record is the following:

TID - Time log ID

Member - Member ID

Type - Type of work (i.e. FFA Agreement, Unbillable, Administrative, Internal Technical, etc.)

Work Type - Work type from the PSA

Client - Client name

Agreement -  Agreement name (only for FFA and L&S)

Project Name - Project name (only for Projects)

Ticket # - Ticket number (if your PSA is opened, links to the ticket)

Ticket Summary - Text explanation of ticket

Date Worked - date of time log work

Date Closed - date the ticket was closed

Date Invoiced - Date of invoice (only Actual rate work)

Invoice Number - Invoice number (only Actual rate work)

Actual Hours - Actual time spent

Billable Hours - Billable time

Hourly Rate - Rate for time

Shadow Billable - Shadow billable for time  

Efficiency - Efficiency (Agreement only)

Revenue - Revenue generated by time log
