What is the FFA Efficiency by Month Report and How is it Used?

The Efficiency by Month Report shows you how well you are pricing your agreements over time on a client level and for your agreement categories. The efficiency of an agreement (or group of agreements for a client) differs from the effective rate as it takes into consideration the value of the time as opposed to just the number of hours.

Two Different Ways of Looking at Efficiency by Month

The report gives you the option to:

1. Highlight trends for individual months
2. Highlight a range of values for individual months.

This is done by shading the month.  In either case red is a signal to take a closer look at the company. The choice for the report perspective is selected in the Filter section of the report.

Filters

The report tracks:

1  All agreement categories or a selection of agreement categories over a period of time.

2. For the date range there is a Quick Select pull down where you can select a pre-set date range. If you would like to customize the dates, you can drag the starting and ending date boxes to the appropriate date.

3. You can select either to highlight by Trend or by Value.

4. If using Trend shading, you can adjust the shading threshold. The default is set at 15%.
If using the Value shading, you can adjust the range % for each shading segment.
The filter below shows the Value option for shading. The preset ranges for efficiency shading are:
Red           efficiency is < .5 (50%) or over 1.5 (150%)
Yellow       efficiency is .5 to .8 (50-80%) or 1.2 to 1.5 (120-150%)
Green       efficiency is between .8 and 1.2 (80-120%)

5. Filter on agreement category. If you do not check any specific agreement category, then all agreements will be listed. One or a combination of agreement categories which are defined in your PSA can be selected for a more targeted report. All agreements will be shown for a client if they have at least one agreement  from this category.

6. Filter on Account Manager. If no Account Manager is selected, the default is All Account Managers.

7. Filter on Client Types. If no Client Type is selected,  the default is all Client Types.

You can download the report to a PDF file, to an Excel file or into a 'report basket' to be downloaded at a future time (highlighted in yellow).

Once you have selected your filters, do not forget to apply the changes by clicking on the Filter box The Reset button clears all filters and sets them back to the default.

Efficiency by Month - Trend Shading

The client portion of the spreadsheet provides monthly efficiencies for each month by client. The final column contains a client's average efficiency over the entire time period. The bottom row provides the  average efficiency for the specific month.

The shading represents where the months stand relative to the previous six months. You can set the Shading Trend percentage. For this example, we used the default of 15%. If it is red, it is 15% below that average. If it is green, it is 15% above that average. If it is between 15% above or below, there is no shading.

Agreement Category

The bottom of the report aggregates the efficiencies by agreement type. If none of the agreement types are checked in the Filter, then all agreement types are listed.

The final column contains an agreement types average efficiency over the entire time period. The bottom row provides the average efficiency for the specific month.
