How to set up Recurring Report Deliveries
MSPCFO provides up-to-date reporting whenever a user accesses the MSPCFO system. Packages of reports can also be delivered on a regular basis, giving the user a way of receiving current reports through email.
The Report Profiles and the Recurring Deliveries tabs allow a user to view a pre-filtered report or have one or more reports delivered by email on a regular basis. This can be useful for a number of purposes:
1. The user can set up filters once and then view the report over time without resetting the filters.
2. The user can pick a time of the week, month or quarter when a certain report or group of reports are valuable and then receive them automatically via email on a predefined schedule. For example, receive an Efficiency by Agreements report along with the P&L for the trailing 12 months on the first of each month or receive the Efficiency by Month on the 15th of each month to see agreements not touched yet for the month.
The report profiles are user specific. Each user must set up his or her own report profiles and recurring deliveries.
The recurring report delivery can be emailed to other members of your company as long as the domain that is used in the email address is included in your domain list. More information is included in the section below for Recipients.
At the top of each page to the right of your name, click on the arrow to pull down the menu. To see the reports saved for delivery, click on Report Profiles. To set up recurring deliveries of these reports, click on Recurring Deliveries.
Getting Started - Saving a Report Profile
The first step is to set up report profiles. Each report has an icon on the right of the top Filters bar. When a report has all the appropriate filters and settings established, the icon is clicked to save these settings. For example, the report below will save the Client P&L for all clients for the trailing 12 months as a report profile. Whenever this report profile is accessed, it will run the report with these settings.
A pop up - Create Report Profile - asks for a name of the report profile. We recommend adding the filters that were set in the current report.
You can select multiple profiles of the same report and the title will help to differentiate the versions.
The time period for the report may differ from the option within the report. Since this is a recurring report the options are limited to a data scope that makes sense for a report delivered on a regular basis. For example if you are looking at the previous quarter in the report, you might want the trailing three months to be delivered so you get an updated report each month.
The options for the data scope are:
- Current month
- Previous month
- Year to date
- Trailing 3 months
- Trailing 6 months
- Trailing 12 months
Once the report profile has been set up, click Save.
Viewing the saved report profiles
The Report Profiles tab allows you to view the report profiles previously set up.
All of the saved report profiles are listed in the Report Profiles tab. A user can view all of the reports which were previously set up. The information in the report will use current data.
A report can also be deleted from the list. Here is an example of the Client P&L report that was created above:
There is not a limit to the number of reports in the Report Profiles. Multiple occurrences of the same report with different settings (i.e. current month and trailing 3 months) can be set up.
Setting up the Recurring Deliveries
Once the reports are set up and listed in the Report Profiles, recurring deliveries can be implemented. Click on the Recurring Deliveries tab.
Initially, the Recurring Deliveries tab will look like the screen below. Click on the bar "Create Recurring Delivery" to set up a recurring email delivery.
A screen will open to allow the recurring delivery to be set up. The following parameters need to be filled in:
PACKAGE DETAILS
1. Name - a unique name of the package of reports.
2. Delivery method - Currently, the only method is Email.
3. Format - The package of reports can be delivered in an Excel(XLSX), PDF or CSV. Each package needs to be a specific format. If multiple formats are needed, create the package for each format.
4. Period - The schedule for the email report delivery. The choices are Daily, Weekly, Monthly, Quarterly.
5. Send day - for Daily choose any day to start; for Weekly choose the day of the week to start; for Monthly choose the day of the month to start; for Quarterly choose the day of the month after the last quarter.
6. Delivery Time - Time the report will be delivered - Eastern Time (US & Canada)
RECIPIENTS
Each package will be delivered to the MSPCFO User who creates the report. A list of other recipients can be added in this section. The recipients MUST have the domain that is included in your MSPCFO accepted domains. This is usually your company domain name, but can also include domains that have been added for any outside advisors or MSPCFO users. If you send to a domain name that you are not sure is included in your instance of MSPCFO, contact MSPCFO through a ticket or your CSR contact to verify.
REPORTS
The left side has a pull down list of all report profiles that have been saved by the user. Choose a report and then if more are to be added click on the Add Report button to get another drop down menu to add another report.
In each report you can use the Row Grouping to see:
All - individual report rows plus group total rows.
Group - Only the group total rows
Individual - Only the individual rows without the group totals. (an example where individual rows might be more appropriate would be on the Client Segments report if you only want to see the client rows and not the Quintile separator rows.)
When these are complete, click Save.
Each package can have unique reports, formats, and dates of delivery.
