Time Status
Purpose
The Time Statuses table is used in conjunction with Block Time One Time or Block Time Recurring with Rollover agreements. Prepaid blocks of hours are sold to a client who prepays through a BT invoice, but revenue is not recognized until the hours are used by members.
Block Time (BT) One Time is an agreement where the client prepays for a block of hours. When these hours are completely used, the agreement is finished, or another invoice is sent for another block of hours.
Block Time (BT) Recurring with Rollover are prepaid hours that are invoiced on a regular basis, usually with the monthly agreement invoices. When the time period ends, if there are any hours that have not been used, the hours are rolled over to the next time period.
A third type of block time is Block Time (BT) Recurring which is invoiced on a regular basis, usually monthly. When the period ends, if the client has not used the hours, then the client loses the time.
The BT One Time and BT Recurring with Rollover are considered Labor T&M revenue and costs in the Client P&L. The BT Recurring is considered FFA Labor revenue and costs.
Settings
Two different Lookup tables must be changed for this option: Options and Time Status:
1. Time Status Settings
First click the Edit button to open the edit screen.
The Time Status that is used to track BT is "Billed-Agr".
Below is how the table will appear when saved from the above change.
Options Settings
In the "Lookup/Options table under Time logs/Consider billing status for BT One Time time entries" = Yes. Make sure this setting is changed to "Yes" for the Time Status table to take effect.
Recalculation of the data must be made for this option to be updated.
